Become Our Office Manager

We are seeking a great communicator who is highly motivated to confidently manage the day to day running of our office. This role includes proactively improving our office systems, offering exceptional customer support via phone and email, administrative tasks and problem solving.

ROLE: OFFICE MANAGER FOR JTX FITNESS & BOOMA

PAY: £24-£30k per annum

LOCATION: Shoreham Beach, BN43 5HZ

Booma was started by one of our Directors last year it is an online retail business selling electric bikes and scooters through www.booma.uk.

Reporting to the Managing Director, your role will include:

  • Being the first point of call for all customer inquiries for both JTX Fitness and Booma. This could be on the phone, via email or (much less regularly) at the door.You will help maintain our superb online reputation by delivering outstanding customer service. Customer issues will relate to deliveries, warranty repairs and general after sales advice.
  • Order processing.
  • Managing our warranty repair system - preparing engineer job sheets, dispatching parts to engineers, recording returned job sheet data signing off invoices for payment.
  • Booking goods in onto our fulfilment companies system.
  • Returns management - booking and tracking returns, invoicing our returns supplier, recording data returned.
  • Grant walk in customers access to our gym so they can try before they buy.
  • Purchasing supplies.
  • Tracking holiday/sick records.
  • Researching and identifying solutions to ad hoc business requirements as requested by the Directors. These will vary and generally be one off but you should be happy to take on phone based research to discover options. Examples might be identifying companies, and gaining quotes to complete a bulk rubbish collection or for quotes to fix a leaking gutter etc.
  • Any other tasks the Directors may reasonably request to help with the running of the business.
  • Co-ordinating health and safety tasks within the office including first aid training and fire marshals.

Person specification

Essential

  • Able to provide clear examples of delivering incredible customer service. We believe a customer with an issue is an opportunity for us to deliver an awesome after sales experience.
  • At least one year’s experience in a team leader type role where customer problems are escalated to you for resolution.
  • At least one year’s experience accurately and systematically working within a clearly set out administrative process.
  • Confident phone manner essential for developing relationships with our suppliers and finding solutions over the phone.
  • Ability to prioritise issues and identify when to request help or delegate tasks.
  • Sociable team worker - the role will require the successful applicant to work with a number of people internally and externally as well as the general public to collect information and to communicate solutions.
  • Strong organisational skills. Your working approach should be organised and systematic with strong diary management.
  • Excellent written communication.
  • Strong excel and numerical capability. Comfortable developing spreadsheets using basic formulas.

Desirable

  • Previous copywriting experience, marketing or digital knowledge.
  • Experience of working in a company where customer service inquiries are technical in nature.
  • An understanding of accounting software e.g. Sage.
  • Previous experience as a PA.
  • Previous sales experience.
  • Proven track record of managing and improving complex internal administration systems.

About JTX Fitness

We set JTX Fitness up in early 2009 based on the belief by buying and shipping to the customer direct we could create a competitive proposition. Starting with two vibration plates and some ebay listings alone we have grown considerably and now offer a complete range of cardio equipment and accessories sold predominantly through jtxfitness.com but also on the Amazon marketplace.

We have made dramatic changes to our business over the last year. A new website and marketing strategies have seen sales increase dramatically while a drive to outsourcing has allowed us to cut costs down across the business. With these positive changes beginning to bed in we are in a position to invest in this exciting new role to advance the quality systems in our business.

We are a small team of highly skilled and motivated people predominantly working in sales, marketing and finance. We work closely with our factories in the far east to develop and launch new products. Our two Directors have been friends for years and are keen to ensure the working environment is a happy one. They want to empower talented people and reward their contribution as the business grows. We regularly get together for a nice lunch, a few drinks or less regularly a bit of go-karting or a session of laser zone!

We have a great location on the beach in Shoreham, ideal for a lunchtime walk or even a swim. Commuting by public transport is easy from Brighton, if you drive we have a car park. We have a gym set up with all our equipment which doubles as a workshop. All our staff are welcome and encouraged to use the gym as their own.

JTX Fitness is our core business. You will spend the majority of your time working on tasks related to this business.
